Personal Edit Link Form Settings
Each Gravity Forms form has its own Personal Edit Link settings under Settings → Personal Edit Link. They decide who can use a link, how long it works, how often the entry can be edited and what happens after an edit.
Enable and create links
| Setting | What it does |
|---|---|
| Enable front-end reopen editing | Turns Personal Edit Link on for this form. Without it, no links can be created for the form. |
| Create a personal edit link after new submissions | Creates a link for every new entry, so a notification on the Personal Edit Link: token created event can send it without Gravity Flow. |
| Automatically resume linked Save and Continue drafts | When a user opens a valid link and has a saved draft for it, the form reloads that draft. Off by default. See How Users Edit an Entry. |
Access mode
| Option | Who can edit |
|---|---|
| Token only (default) | Anyone who has the link. |
| Token and logged-in entry user | Only the user who created the entry, logged in, and with the link. |
Treat a link with Token only like a temporary password for the entry: send it only to the person who should edit it.
Token expiration
| Option | When the link stops working |
|---|---|
| Lifetime in days (default) | The number of days in Token lifetime in days (default 7) after the link was created, to the second. A link created on Monday at 14:32:10 with 7 days expires the next Monday at 14:32:10 UTC. 0 means the link does not expire. |
| Date field value | At the date in the Token expiration date field of the entry. A date without a time is valid until 23:59:59 on that day in the site timezone. |
| Fixed end date and time | At the Token fixed end date and time, entered as yyyy-mm-dd hh:mm:ss. |
With Lifetime in days, check Expire at end of final day to keep links valid until 23:59:59 on the last day in the site timezone.
Token lifecycle after resubmission
| Option | Effect |
|---|---|
| Close token after first successful resubmission (default) | The link works for one edit. |
| Keep token open until maximum token uses or resubmissions is reached | The same link can be used again, up to Maximum token uses. |
Maximum resubmissions per entry (default 1) limits the total number of edits of one entry through Personal Edit Link, across all its links. With the default, an entry that was edited once cannot be edited again, even with a new link. Raise it when an entry may be reopened more than once, for example in a workflow that sends it back several times.
Editable upload fields
| Option | Users can |
|---|---|
| Allow adding, replacing, and removing uploads (default) | keep, add, replace and remove files. |
| Allow adding or replacing uploads | keep, add and replace files, but not remove them. |
To keep the files of an upload field unchanged, mark that field as Not editable in Personal Edit Link.
Feeds after resubmission
| Option | Effect |
|---|---|
| Do not rerun feeds (default) | No add-on feeds run after an edit. |
| Rerun all non-payment feeds | All feeds of the form run again, except payment feeds. |
| Rerun selected add-on feeds | Only the feeds of the add-ons checked under Selected feed add-ons run again. |
Feeds such as email marketing, CRM or webhook feeds then run with the updated entry. Do not combine feed reruns with a full workflow restart unless you want the duplicate emails, webhooks and CRM updates.
Notifications and audit history
Personal Edit Link adds three notification events to the form: Personal Edit Link: token created, Personal Edit Link: resubmission and Personal Edit Link: token expired. See Create and Send Personal Edit Links.
Store audit history (on by default) logs every edit. See Audit History and Data Retention.
