Gravity Flow: Reopen Entry for Editing Step

Reopen Entry for Editing is a Gravity Flow step added by Personal Edit Link. When an entry reaches the step, it is opened for editing and gets a new personal edit link. The workflow can wait until the submitter has edited the entry or the link has expired, and take a different route for each. Use it to send an application or request back for corrections in the middle of a workflow.

The step uses the Personal Edit Link settings of the form, such as the token expiration and the editable fields, so check Enable front-end reopen editing in the form settings first.

Add the step

  1. Go to the form’s Settings → Workflow and add a step.
  2. Choose Reopen Entry for Editing as the step type.
  3. Set the step’s start conditions as for any Gravity Flow step.
  4. Under After creating token, choose how the workflow continues (see below).
  5. Save the step.

Wait for the edit or continue immediately

After creating tokenWhat happens
Wait for edit submission or token expiryThe step stays pending until the user submits the edit or the link expires. Choose the route in Next step after edit submission and Next step after token expiry.
Continue workflow immediatelyThe workflow moves on right away to the step chosen in the standard Gravity Flow next step setting. Later edits or expiry do not move the workflow.

The route options are Workflow complete, Next step in list or a specific step of the workflow. A common pattern is to send the edited entry back to the review step that asked for the correction, and to end the workflow or notify the team when the link expires.

The step does not assign the task to a user and does not send email itself. Add a notification on the Personal Edit Link: token created event with the {gwp_reopen_link url="…"} merge tag, as described in Create and Send Personal Edit Links.

Expiry and timing

The step does not use Gravity Flow’s step expiration; the link lifetime comes from the token expiration of the form. The link stops working at the exact expiry time. The token expiry route runs on the next expiry check, which runs every 10 minutes with WP-Cron, so it can start a few minutes after the link expired.

In the Personal Edit Link box of the entry, Regenerate token replaces the link and keeps the step waiting with the new one; links you sent earlier stop working. Revoke token ends edit access and moves the workflow through the token expiry route.

To reopen an entry of another form, use Gravity Flow: Reopen Entry by Entry ID Step.
