Create and Send Personal Edit Links
A personal edit link is the URL of your edit page with a gwp_reopen_token parameter. This page shows the ways to create the token for an entry, how to send the link by email and how to revoke it. To create links from a workflow, see the Gravity Flow pages.
Each entry has at most one active link. Creating a new link revokes the previous one, so links you sent earlier stop working.
Create a link on the entry detail page
- Open the entry under Forms → Entries.
- In the Personal Edit Link box, click Create token. When the entry already has a link, the button is Regenerate token.
- Confirm the message.
The box shows the active token with a Copy token button, and when it was created, when it expires, how often it was used and its access mode.
Create links for several entries
- Go to Forms → Entries and select the entries.
- Choose Generate personal edit links under Bulk actions and click Apply.
Revoke personal edit links in the same menu revokes the active links of the selected entries.
Create a link after every new submission
Check Create a personal edit link after new submissions in the form’s Settings → Personal Edit Link. Every new entry then gets a link right after it is submitted, which a notification can send to the submitter.
Send the link by email
Creating a link triggers the Personal Edit Link: token created notification event, whichever way the link was created. Use it to email the link:
- Go to the form’s Settings → Notifications and add a notification.
- Set Event to Personal Edit Link: token created.
- Send it to the submitter, for example with the email field of the form.
- Add the link to the message with the merge tag and the URL of your edit page:
{gwp_reopen_link url="https://example.com/edit-your-application/"}
The merge tag outputs the full URL with the token, such as https://example.com/edit-your-application/?gwp_reopen_token=…. To build the URL yourself, use {gwp_reopen_token} for the token value:
https://example.com/edit-your-application/?gwp_reopen_token={gwp_reopen_token}
The merge tags are empty when the entry has no active link.
Two more events are available:
| Event | Sent when |
|---|---|
| Personal Edit Link: resubmission | the user has submitted an edit, for example to tell your team that the entry changed. |
| Personal Edit Link: token expired | a link has expired, checked every 10 minutes. |
Revoke a link
Click Revoke token in the Personal Edit Link box of the entry, or use the Revoke personal edit links bulk action. The link stops working right away.
When the link belongs to a waiting Gravity Flow step, revoking it moves the workflow through the step’s token expiry route, and regenerating it keeps the step waiting with the new link.
Only users who can edit Gravity Forms entries can create and revoke links.
