Add-on: Dynamic Labels

Dynamic Labels is a Gravity Forms add-on that fills field labels, field descriptions and HTML content of a form with values from an entry of another form. Use it when one form must ask different questions for each grant, course, vacancy or client, and you want to manage those questions as entries instead of copying the form.

How it works

Dynamic Labels connects two forms:

  • The source form holds the questions or texts, one entry per grant, course or vacancy. Staff fill it in like any other form.
  • The dynamic form is the form people fill in. Its labels, descriptions and HTML content come from one entry of the source form.

A link to the dynamic form carries an encrypted reference to the source entry in a URL parameter. When the form loads, Dynamic Labels finds that entry and replaces the mapped labels, descriptions and HTML content. After submission the entry remembers the reference, so the entry screen, notifications and GravityView show the same questions.

Example: check questions per grant

A foundation offers several grants, each with its own check questions.

  1. The source form Grants has the fields Grant name, Introduction and Check question 1 to Check question 5. Staff add one entry per grant.
  2. The dynamic form Grant application has an HTML field for the introduction and five Paragraph fields for the answers.
  3. In the settings of Grant application, the HTML field gets the Introduction and each Paragraph field gets a check question as its label.
  4. Each grant page links to the application form with ?dynamic_label= and the encrypted entry ID of that grant.

A grant with three check questions leaves the other two empty. With Empty Field Behavior set to Hidden, those two fields are not shown.
