Using All Entries
All Entries shows submissions from every Gravity Forms form on one page. Use it as your daily starting point: scan what’s new, search or sort to narrow down, then click into the form’s entries screen or a single entry detail to follow up.
Open the overview
Go to GravityWP → All Entries in the WordPress admin. You’ll see a table with a site‑wide list of entries.
Default columns provide quick context at a glance:
- Date Created — When the entry was submitted.
- Entry ID — Unique identifier you can click to open entry details.
- Form Title — Click to open that form’s standard Entries screen.
- User — The logged‑in user who submitted (or blank/guest if not logged in).
- Embed URL — The page where the form was embedded when submitted.
Tip: Use the pagination controls at the bottom to move between pages.
Choose your columns (Screen Options)
Open Screen Options (top‑right) to tailor the view:
- Toggle extra columns like Form ID, Payment Status, IP Address, User Agent, Starred, Read Status, and Workflow Status (shows when Gravity Flow is active and provides status data).
- Adjust Number of items per page, then click Apply.
Keep it minimal or add more context depending on your workflow.
Find what you need (search & sort)
Use the Search Entries field above the table to filter the list by keyword. Then click a column header (for example, Date Created) to sort ascending/descending. Combine both to quickly narrow down to the entries that need attention. If you don’t see the data you expect, add the relevant column in Screen Options and try again.
Open details and take action
- Click a Form Title to open that form’s standard Entries list in Gravity Forms.
- Click an Entry ID to open the Entry Detail screen for the full record and available actions (edit, notes, resend notifications, export, bulk actions from the form’s entries list, etc.).
All Entries is designed for monitoring and navigation. You take actions in the standard Gravity Forms screens you open from here.
Typical workflows
Morning triage
Open All Entries to see the newest items, search for names or keywords, then jump into the relevant entries to respond.
Payment check
Enable Payment Status in Screen Options. Use sorting and search to find entries that need finance follow‑up. Open the form’s entries list for exports or bulk operations.
Process tracking
With Gravity Flow active, enable Workflow Status to see where items sit in a process before opening the entry detail.
Tips & notes
- Performance: If the list feels heavy, reduce Number of items per page in Screen Options.
- Context: Embed URL helps you trace where a submission was captured, useful for multi‑page forms or A/B test pages.
- Team visibility: Use Starred and Read Status columns to coordinate triage across a team.
Troubleshooting
I don’t see “All Entries” in the menu
Confirm the add‑on is active and your role has permission to view entries in Gravity Forms.
Payment/Workflow columns show empty or N/A
These columns display data only when the related add‑ons are active and the entry has data to show.
Too many/few rows on a page
Open Screen Options and set Number of items per page, then Apply.
Frequently Asked Questions
