Periodical Email Summaries for New Entries
The GravityWP – All Entries plugin allows you to receive automated, periodic email reports summarizing form entry activity on your site. This guide explains how to configure and manage these summaries.
1. Accessing Email Settings
All email configuration is handled within the main plugin settings.
- Log in to your WordPress admin dashboard.
- Navigate to Forms > Settings.
- Click on the GravityWP – All Entries tab in the left-hand menu.
2. Configuration Options
Scroll down to the Email Summary Settings section to find the following fields:
- Enable Email Summaries: Toggle this checkbox to turn the automated reporting feature on or off.
- Email Recipients: Enter a comma-separated list of email addresses (e.g.,
admin@example.com, manager@example.com) that should receive the reports. The plugin will validate these addresses to ensure they are in a correct format before saving. - Email Frequency: Choose how often you want to receive a report. Options include:
- Daily: Sends a summary of the last 24 hours of activity.
- Weekly: Sends a summary of the last 7 days of activity.
- Monthly: Sends a summary of the last 30 days of activity.
- Email Subject: Customize the subject line of the summary emails (default: GravityWP – All Entries Summary Report).
Once you have configured your preferences, click the Update button to save your changes and schedule the automated tasks.
3. What’s Inside the Report?
The periodic email is an HTML-formatted report designed to give you a quick overview of form performance without logging into WordPress. It includes:
- Report Period: The exact date range covered by the summary.
- Summary Stats: High-level totals for the number of entries received and the number of active forms that had submissions.
- Form Details Table: A breakdown of activity per form, showing the form name, its ID, the total entry count for that period, and the date of the most recent submission.
- Action Button: A “View All Entries” button that links directly to your unified dashboard in the WordPress admin.
4. Technical Details & Troubleshooting
- Scheduling: The plugin uses standard WordPress cron functionality (
wp_cron) to send emails. If your site has very low traffic, the emails might be slightly delayed as WordPress cron requires a page visit to trigger. - Timezone Consistency: The reports use your site’s WordPress timezone settings for “Report Period” and “Last Entry” timestamps.
- Email Delivery: Emails are sent using your server’s default
wp_mail()function. If you do not receive the reports, ensure your WordPress site is correctly configured to send emails (e.g., using an SMTP plugin). - First Run: When you first enable summaries, the first report is typically scheduled to run 24 hours later.
