An event registration form collects attendee details, workshop choices and the information needed to manage sign-ups. For a workshop business, start with name, email and session selection. Add payment fields for paid events, then configure a confirmation message, attendee emails and a process for schedule changes.
A workshop date may change after people register. Your registration process needs to handle that update as well as the first sign-up. This step-by-step guide covers a Gravity Forms setup in WordPress, then shows a date change we tested with four dummy records.
The example uses one entry per participant. It suits a training provider running named sessions such as Advanced Workshop and Beginner Workshop. You can tailor the questions for webinars or other training formats, while keeping the workshop and status values consistent.
What should a workshop event registration form include
Start with the details you need to identify each person and their chosen session. The form helps your team collect usable information for event planning. Add questions only when the answer changes how you prepare or communicate.
| Field | Who completes it | Purpose |
|---|---|---|
| Name | Visitor | Identify the participant |
| Visitor | Send practical event information | |
| Workshop or session | Visitor | Record the selected workshop |
| Company or experience level | Visitor if relevant | Help staff prepare suitable training |
| Dietary or accessibility requests | Visitor if relevant | Help staff plan food or support |
| Status | Staff or a configured workflow | Track Pending or Confirmed |
| Workshop Date | Staff or a configured workflow | Store the date for that registration |
Display the event’s time, location, price and contact details near the form. For a virtual session, explain when participants will receive the joining link. Ask about a dietary preference only if you cater the workshop. Keep other questions optional unless they serve a clear purpose.
An effective event registration form keeps data collection tied to a clear purpose. Plan how you will handle personal data. Link to your privacy information and decide who can access attendee data. Keep a marketing checkbox separate from practical event messages. Review your own privacy and compliance requirements before publishing.
Create your event registration form in WordPress
You need WordPress with Gravity Forms installed and activated. The rescheduling example also needs the GravityWP Update Multiple Entries add-on. Payment processing requires an appropriate Gravity Forms license, a supported payment add-on and a connected processor account.
Step 1 Start with a basic form or template
In WordPress, go to Forms > New Form. Start with a blank form named Workshop Registration, or use the official event registration form template. The template is customizable; remove questions that do not help your business run the session.
For the date-update test, we used a separate form named Workshop Registrations Test. It contained Attendee, Workshop, Status and Workshop Date. That small form let us check the update rules without using customer records.
Step 2 Customize the necessary fields and workshop choices
For online event registration, add Name and Email fields. Use a Drop Down field for Workshop and enter the choices your business offers. Our test used Advanced Workshop and Beginner Workshop. Mark the visitor fields you need as Required, then save the form.
Add Status as a Drop Down field with Pending and Confirmed choices. On a live form, set its visibility to Administrative so staff or a configured workflow controls it. Set Pending as the default choice if your team must approve participation. A custom Status field does not verify payment.
Add a Date field labeled Workshop Date. Ensure each entry stores the date for the selected session. For this test, we populated the dates in the test records before running the update. The screenshot shows the simplified editor used to set up those records, including its workshop choices.
Step 3 Add ticket pricing for paid events
Skip payment fields for a free event. To build an event registration form with payment, configure the ticket options, prices and supported payment add-on. Gravity Forms lists Pro or Elite as the licenses for accepting payments through its event template.
For example, a Stripe setup needs the Stripe Add-On, an account and SSL. Follow its form and feed configuration instructions. Verify the total and payment result in the processor’s test mode before taking paid registrations. Publish clear early-bird terms if you offer a reduced price, and test how that price ends.
Step 4 Configure a confirmation message and email
Open Settings > Confirmations to set the response after submission. If approval is required, use wording such as “We received your request. We will contact you when your place is confirmed.” This keeps the registration process clear.
Then open Settings > Notifications and add the attendee message. Use the submitted Email field as the recipient and a valid sending address for your domain. Include the workshop, date, location and contact details. Gravity Forms documents confirmations and notifications as separate parts of the submission response.
Check the notification settings and test delivery to an inbox you control. A saved entry alone does not show that an attendee received an email. Include payment instructions or joining information only when they match the booking’s actual state.
Step 5 Test and publish the registration page
Create or edit a WordPress page and add the Gravity Forms block. Select your form and display the event details above it. Choose a clear button label, such as Request a place, when staff approval is needed.
- Submit a test with the mandatory fields empty and check the validation messages.
- Complete the form on mobile and with a keyboard. Check labels, choices and instructions.
- Confirm the saved session, date and status in the entry, then check message delivery.
- For a paid booking, verify the payment result separately before treating the place as confirmed.
When these checks pass, publish the page and test the public version. Keep test records separate from real bookings. Repeat these checks for every event.
Update registrations when a workshop date changes
Our example moves Advanced Workshop from November 10 to November 17, 2026. Only records with Workshop = Advanced Workshop AND Status = Confirmed should change. We tested this with four dummy registrations in Workshop Registrations Test.
Before the update, all four records had the same workshop date. Two matched both conditions; the other two let us check that the filter excluded a pending booking and a different workshop.
Create an internal form to trigger the update
Activate GravityWP Update Multiple Entries. Create a second form named Update Workshop Date Test. Add one required Single Line Text field labeled New Workshop Date. We used this field to submit the replacement date.
Keep the trigger form available only to authorized staff. Use the form preview while testing. If you embed it for operational use, restrict access to the people who should be allowed to start the update. Take a backup and test the rules before changing live bookings.
Select the target records and map the new date
On the trigger form, open Settings > Update Entries > Add New. Name the feed Update confirmed Advanced Workshop dates and choose Workshop Registrations Test as the target form. The feed settings guide explains target forms, conditions and mapping.
- Set Workshop is Advanced Workshop.
- Add an AND condition for Status is Confirmed.
- In Field Mapping, map Workshop Date to New Workshop Date.
- Save the feed settings.
The conditions below select the two matching records. The mapping changes their date field. In a recurring workshop business, also identify the intended session or original date in your conditions if the same workshop name appears across several dates.
Submit the new date and verify the result
Enter 2026-11-17 in New Workshop Date and submit the trigger form. Use the required date format, Y-m-d, when supplying a custom date value. Check the stored date even if the entry list displays it in a different format.
In our test, we entered 2026-11-17 in the trigger form shown below. This is the value passed to the mapped date field.
After submission, Test Attendees A and B showed November 17, 2026. Test Attendee C remained Pending on November 10. Test Attendee D remained in Beginner Workshop on November 10. The result is visible in the updated registration list.
| Test attendee | Workshop | Status | Date after update |
|---|---|---|---|
| A and B | Advanced Workshop | Confirmed | November 17, 2026 |
| C | Advanced Workshop | Pending | November 10, 2026 |
| D | Beginner Workshop | Confirmed | November 10, 2026 |
This four-record test verifies the matching rules and date change shown here. Review the intended records and open their entry details before applying the same setup to customer data. Updating a stored date does not by itself update the public registration page, a calendar service or a payment record.
Improve the online registration process before and after sign up
An event registration form works best when the organizer can use the information after submission. Review your Gravity Forms event registration list by workshop and status. Collect only the details your team can act on, and keep each participant’s record consistent when plans change.
Plan a reminder before the event starts and a follow-up afterward. To automate scheduled messages, you need a tool that supports that timing. Our guide to scheduling Gravity Forms notifications explains Notification Scheduler options. After rescheduling, check any queued messages against the new date.
For workshops with limited seats, use a capacity and approval workflow. The separate workshop registration and waitlist tutorial covers that setup. The date-update example above does not allocate seats or promote a waitlisted person.
If your event management process uses a CRM or marketing platform, integrate only the fields needed for the next action. Check the chosen integration’s requirements and test its mapping. Keep marketing strategies tied to the attendee’s preferences. Add further automation after the basic event registration process works.
Use analytics to compare visits with completed sign-ups and investigate abandonment. Check for unclear questions, errors or a cumbersome payment step. This can provide insight for the next workshop without promising a particular increase in attendance.
Build the form around the information your workshop team needs, then test what happens after submission. When schedule changes affect a defined group, use Update Multiple Entries to configure the conditions and mapped values for that group.
Event registration form FAQ
Start with name, email and the selected session. Display practical event details nearby. Add relevant questions for preparation, plus payment fields when needed. Staff should control internal status values. The necessary fields depend on what your team must know to run the workshop.
Yes. Gravity Forms provides a visual form editor, and the tested date update uses an add-on feed with conditions and field mapping. You still need to configure and test the setup for your site.
It can be configured for both, using the appropriate fields, conditional logic and payment integration. Verify the requirements of your chosen add-on. Our four-record date test did not process payments.
Yes. In our test, combining the workshop and Confirmed status with AND updated the two matching records. The pending record and the other workshop record kept their original dates. Adapt the conditions to identify the exact session you intend to change.
Sending a message needs its own configuration. Update Multiple Entries documents an Entry updated notification event for updated target entries. Configure the recipient and content, then test delivery. Our screenshots verify the stored dates; they do not establish that attendees received messages.
